2021 Cancellation FAQs

WHY CANCEL NOW?

Until very recently we had still been hoping and planning to run Elderflower Fields Midlands in June this year, but we have to balance two significant considerations.

Firstly, and most importantly the health and safety of everyone involved. With recent guidance from the government we can now see what the situation might be like in early June. And whilst it’s technically feasible that we would be able to run the festival, there is a huge amount of risk in planning for an event which we still may not be allowed to produce. It’s difficult to plan the safety and management of the festival, both in terms of everyone on site, but also in a way which wouldn’t put additional pressure on local resources and emergency services.

Secondly, we have ‘sunk costs’ including salaries, overheads and deposits. Like many organisations, we have utilised the government’s furlough scheme, but we have planning lead time which means committing to further spending now. We have to look carefully at whether we continue investing money in an event which may not be allowed to take place, or reduce every possible expenditure until we can be confident that we will be able to run the festival safely.

Reluctantly, we feel that the balance is now tipped and the financial and safety risks of running the festival this year are too big for us to accommodate.

WHAT ARE THE 2022 FESTIVAL DATES?

We are really hoping that, after two stalled attempts, we can launch Elderflower Fields in the Midlands in 2022. We are planning for the second weekend of the summer half term, but we will confirm the dates later in the autumn.

I HAVE 2021 TICKETS - WHAT ARE MY OPTIONS?

You have three options:
1) Receive a full refund.
2) Transfer your tickets to Elderflower Fields South
3) Roll over your tickets to 2022
If you are able to keep your tickets for 2022, we would be hugely grateful and you will be supporting an independent, family run festival in what is a very difficult time for the sector. You’ll also be keeping the best price for your tickets. Due to the tiering of ticket prices, your tickets will be cheaper than any which you’ll be able to buy at a later date.

I’VE DECIDED I NEED THE REFUND, WHAT DO I NEED TO DO?

To claim a refund you need to login to your Ticketsellers account and choose the option to refund next to each of your tickets.
If you would like a refund, we ask that you please do this by 12th March 2021. We will not be able to process refund requests after this date.

I’VE DECIDED TO TRANSFER MY TICKETS TO ELDERFLOWER FIELDS SOUTH - WHAT DO I NEED TO DO?

If you are able to join us in Sussex this year, we would love to welcome you to our original family festival! To transfer your tickets, you need to login to your Ticketsellers account and choose the option to transfer tickets to EF South next to each of your tickets. Full details of the festival can be found on our website here: south.elderflowerfields.co.uk.
If you have already received a 25% refund on your Midlands tickets from last year, you will need to repay this. Ticketsellers will send you a direct link to make this payment after the 10th March. If you did not receive a partial refund, there is nothing further to do once you’ve logged in and selected the option to transfer tickets. If you would like to transfer your tickets, we ask that you please do this by 12th March 2021. We will not be able to transfer tickets after this date.

BUT WILL ELDERFLOWER FIELDS SOUTH REALLY GO AHEAD?

Yes – we think so! We’re an agile event with lots of experience and are working with the support of the local authorities and industry experts to plan for a safe event. With the government’s recent announcements, we have rescheduled the festival to 23rd – 27th July and we are confident that these dates will give us a very good chance of being able to run our full festival. But we will of course only do so if we are allowed to and if it is safe and appropriate to do so. If we are forced to reschedule or cancel Elderflower Fields South, you’ll be offered options to roll over or claim a refund on your tickets at that point.

I’VE DECIDED TO KEEP MY TICKETS FOR 2022 - WHAT DO I NEED TO DO?

Firstly, thank you so much – we really appreciate your continued support.
For your main festival tickets and any live in vehicle tickets, you don’t need to do anything – they will automatically be transferred to Elderflower Fields Midlands 2022. If for any reason we are unable to run the festival in 2022, your tickets will of course be eligible for a full refund.

WHAT DO I DO IF I HAVE AN 0-3s TICKET BUT NEED A CHILD TICKET FOR 2022?

You don’t need to do anything. For kids who have turned 4 by next year’s festival, we will honour the tickets and you can use them at the 2022 event without needing to upgrade.

LIVE IN VEHICLES

All live in vehicle tickets will be automatically rolled over to 2022. If you are transferring your festival tickets to 2022, you don’t need to do anything further. If you are unable to join us next year and require a refund for your live in vehicle tickets, you must login to your Ticketsellers account and claim the refund before 12th March 2021.

CAR PARKING TICKETS

Free car parking tickets will be automatically rolled over to 2022. You do not need to do anything further.

FREE CARER’S TICKETS

If you have a free carer’s ticket and you are transferring other tickets to 2022, you do not need to do anything else. Your tickets will still be valid for the 2022 festival.

COMPLIMENTARY AND PRESS TICKETS

If you were previously issued complimentary (won as part of a competition for example) or press tickets, they will be automatically rolled over to the 2022 event. You do not need to login to Ticketsellers or do anything else at this point.

HOW LONG DO I HAVE TO DECIDE ABOUT MY TICKETS

If you need a refund, you must login to your Ticketsellers account and claim it before the 12th March 2021. After this date, all festival tickets will automatically transfer to 2022. We will not be able to process refund requests after the 10th March.

HOW LONG WILL IT TAKE TO RECEIVE A REFUND?

After you have selected the options for a refund in your Ticketsellers account, please allow up to 28 days to receive the refund into your bank account.

General FAQs

Questions About Tickets:

HOW DO I BUY TICKETS?

Tickets are available only through the ticket page of this website, via our ticketing partner, Ticketsellers. There will be no ticket sales whatsoever on the gate.

ARE THERE ANY BOOKING FEES?

Yep. We hate additional fees as much as you, which is why we’ve picked a ticket agent with low fees. Each ticket will incur an additional booking fee and transaction fee which is shown next to the ticket price on the ticket page.

DO I NEED A TICKET FOR CAR PARKING?

Yes. We have now introduced tickets for car parking. Tickets are free for your first car, but you must pre-purchase from the ticket shop when you buy your festival tickets. Please consider making a contribution to the Energy Revolution to balance your carbon emissions.

DO I NEED TICKETS FOR MY CHILDREN?

Yes. Children aged between 3 and 16 require a child ticket which will allow them access to all the dedicated kids sports and activities.  For children under 3, you must purchase an Under 3s ticket. Child tickets should be purchased based on how old the child will be at the festival.

WHEN WILL I GET MY TICKET?

Tickets are delivered to the email address entered during the booking process. These will be sent out closer to the festival. Please bring your e-tickets with you when you arrive at the festival, preferably on your phone or tablet, and we’ll scan them at the gate and exchange for wristbands. If you don’t see your tickets in your inbox, please check your spam folders.

WHAT DO I DO IF I'VE LOST MY TICKET?

CAN I GET A REFUND OR SELL MY TICKET?

Unfortunately we are not able to refund tickets that can no longer be used. You are however allowed to sell or gift your tickets to friends etc.

CAN I LEAVE AND RETURN TO THE SITE?

Yes, as long as you still have your wristband on and only do so within the opening times of the festival site (see below).

CAN I BUY TICKETS ON THE DAY?

No. There will be absolutely no gate sales whatsoever. If you do not have a valid ticket when you arrive at the festival, you will not be able to enter the site.

CAN I BUY A DAY TICKET?

A small number of Saturday day tickets will go on sale in March.

Opening Times and Other Timings:

WHEN DOES THE FESTIVAL OPEN?

Gates open on Friday 29th May at 12 noon. Please do not arrive at the festival before 11am as you will not be allowed into the car park before this time. Last entry to the site will be at 10pm.

On Saturday the site will open at 9am and close again at 10pm. You will only be allowed to enter or leave the festival site during these times.

On Sunday the festival programme finishes at 2.30pm and the site closes completely at 5pm – you must be packed down and off site by this time.

WHAT TIME DOES THE MUSIC START & STOP?

Performances start from about 5pm on the Friday. On Saturday there are activities from early in the morning, but the main schedule of performers on the stages starts at around 11am.

The Dragonfly Stage stops completely at 11pm each night. The Courtyard Stage stops at 10pm.

After 11pm there is very low level music in our main bars, but the campsites will be fairly quiet.

Travel:

HOW DO I GET TO ELDERFLOWER FIELDS?

Probably the easiest way to get to the festival is to drive, but if at all possible we would encourage you to consider using public transport or lift sharing. Details of trains, taxis and busses can be found on the travel page here.

Please remember that you need to buy a free car park ticket if you intend to arrive by car.

HOW MUCH DOES IT COST TO PARK?

Nothing. Parking is free for one car per family.

Travel accounts for up to 80% of the emissions generated by the festival, so we ask that you consider balancing your travel through the Energy Revolution which you can do at the same time as buying your tickets.

IS THERE SPECIAL PARKING FOR DISABLED PEOPLE?

Yes – there will be disabled parking spaces close to the festival entrance for blue badge holders. If you need to drive your car on site to be able to camp you will be allowed to pitch in the camper van area. Please see the Accessibility page for more information.

Camping & Accommodation:

CAN WE CAMP WITH ALL OUR FRIENDS IN ONE PLACE?

The main camping field is quite spacious so there is a good chance you will be able to camp with your friends and have plenty of room to spread out, but we recommend arriving early to ensure this as we cannot reserve spaces.

Please do not bring gazebos as they take up too much room.

CAN WE CAMP NEXT TO OUR FRIEND'S CAMPER VAN?

Not ordinarily. The standard camping fields are in a different area to the live in vehicle areas.

If you have purchased a live in vehicle pitch, you are allowed up to one additional tent or gazebo within your pitch. Both live in vehicle and tent must be contained within your marked pitch (6m x 9m) and you are only allowed one vehicle per pitch.

DO I NEED TO BOOK FOR CAMPER VANS OR CARAVANS?

Yes. You must buy a Live-in vehicle pitch ticket in advance for your camper van or caravan – they will not be available on the gate and if you turn up without a ticket you’ll have to park in the main car park.

Trailer tents which require a vehicle to tow them, caravans or other live in vehicles also require a Live-in vehicle pass.

IS THERE A LUXURY CAMPING OPTION?

Yep. Various lovely ‘glamping’ options are be available. You must book in advance. More details are available on the Glamping page.

CAN WE HAVE CAMPFIRES?

You are allowed your own fire pits or barbecues provided they are raised off the ground, but you are not allowed to build any other type of campfire or take wood from anywhere on the site.

ARE GAZEBOS ALLOWED?

No. Please do not bring additional gazebos or large awnings. The campsites are spacious, but there is not enough room if everyone also brings gazebos. Please be considerate towards your fellow campers. and only take the room you need for your tent.

CAN I BRING MY OWN FOOD AND ALCOHOL?

Yes, this is allowed but please do not bring any glass and be mindful of how much rubbish you are creating. We have asked all our food providers to make their meals affordable (as well as good quality).

Please also remember that you will have to carry all of your equipment from the car park to the campsites, so we suggest you just bring a few essentials and enjoy the huge range of wonderful food and drink available from our vendors and bars.

ARE BBQS AND CAMP STOVES ALLOWED?

Barbecues and gas camp stoves are allowed but please don’t bring any petrol stoves. Also make sure they are raised off the grass and are well away from tents.

Please don’t bring disposable barbecues – they are very difficult to recycle and not very sustainable (or very good at cooking food in our opinion…).

About The Festival Site:

IS THERE MOBILE COVERAGE ON SITE?

Yes, but it can be patchy and depends on your network provider. If you think you will need mobile internet coverage it’s best to check with your provider first.

IS THERE A CASH POINT ON SITE?

Unfortunately there is no cash point on site, but all our vendors and bars accept card payments.

Please ensure you bring enough cash with you.

CAN I BRING MY DOG OR OTHER PET?

Sorry – no animals are allowed anywhere on the estate. You’ll have to find a dog sitter for Fido.

WILL THERE BE MEDICAL SERVICES?

Yes, we have a dedicated first aid centre on site, run by professional event medics. Their location at the festival will be shown on the site map which will be available in May.

IS THERE SOMEWHERE I CAN CHARGE MY MOBILE PHONE?

Yes. The Info Tent will offer mobile phone charging for a small fee.
